Job Description

The office assistant is organized, personable and detail-oriented. This position performs multiple functions and tasks for system educational programs in a fast-paced department. Tasks include but are not limited to front desk duties, excellent customer service, course registration, monitoring supply needs, assisting in calendar and classroom management. Functions include but are not limited to administrative support for the department System Director and Managers, the American Heart Association (AHA) Training Center and the MNA Approved Provider Unit at Bozeman Health. Supports other department staff in course preperation and dissemination of information.

REQUIREMENTS

EDUCATION

Required:

Graduate of high school (or equivalent).

Preferred:

Post-secondary coursework or college degree in health care related field, business administration or management.

LICENSURE and CERTIFICATION

EXPERIENCE

Required:

Proficiency at the Intermediate level in Microsoft Office Suite and Quick Books.

Preferred:

Training in health related office procedures desired.

ESSENTIAL FUNCTIONS

50% Time Spent -
Provide Excellent Customer Service to internal and external customers.
Greet and assist customers in the office, answer and redirect phone calls, provide assistance with course enrollment through NetLearning, the website or in person.
Provide class support by checking students in, assisting with AV and classroom needs.

40% Time Spent -

Follow office workflow procedures to ensure maximum efficiency and consistency of department operations.
Provides support for the American Heart Association (AHA) Training Center - register students, set-up the classroom, provide AV support, assist with equipment inventory and maintenance.
Administrative support for MNA Approved Provider Unit - assists with enrollment, prepares sign-in sheets, course materials and CNE certificates. Maintains accurate and timely records.
Assist with Department and classroom calendar requests
Follows and maintains effective recordkeeping systems.
Collect course payments, prepare receipts and invoices.
Assembles educational materials pertinent to course offerings.

10% Time Spent -
Other duties as assigned.
