Job Description

The Clinic Scheduler consults and in office testing procedures following guidelines and instructions given by physician. The Clinic Scheduler is responsible to review all instructions written and verbal with the patient pertaining to consents/ABN waivers and obtain prior authoization from insurnaces companies on patients behalf. The Clinic Scheduler is responsible to mail patients pertinent information about their upcoming consult and testing procedures. The Clinic Scheduler schedules all feedback or follow appointments. Under general supervision preforms clerical dutiesin a medical clinic setting and multi-tasks.

REQUIREMENTS

EDUCATION

Required:

High School Diploma/ or GED equivalent Medical Terminology

Preferred:

Ability to type 40 words per minute.

LICENSURE and CERTIFICATION

EXPERIENCE

Required:

Previous experience with computer software/windows profiecient.
Medical Office Experience

Preferred:

Minimum of two years Medical/clinical office experience.
Previous experience in Customer service.
Experience in HIPAA
Knowledge of current EMR system
Knowledge of coding and billing.
Knowledge of legal guardianship and POA documents.

KNOWLEDGE OF, SKILLS IN, ABILITY TO, COMPLEXITY AND DIFFICULY:

KNOWLEDGE OF:

Personal Computers, hardware and basic software programs including e-mail, word processing, and spreadsheets.
Knowledge of medical terminology
Knowledge/Understanding of the components to various insurance cards preferred
Knowledge of administrative and clerical procedures including managing files and records and other office procedures and terminology, whether in paper or electronic format

SKILLS IN:

Multi-phone System
Clear and precise written and verbal and electronic communication
Attention to detail and accuracy
Excellent Time Management Skills
Proficiency in MS Windows.

ABILITY TO:

Ability to maintain professionalism and composure with cancer patients and family
Understanding the components of the medical record
Operating fax, copier, multi-phone lines and other office equipment
Refer to policy manual for specific instructions/guidelines.

Ability to sort and prepare documents either in paper or in computer imaging, and assign the document appropriately.

ESSENTIAL FUNCTIONS

40% Time spent -
Great customer services skills, coordinates with patients, family members and/or referral sources for medical records, complete questionnaires, booklets and paperwork.
Receives all incoming faxes, phone messages, mail and addresses them in a timely manner.
Processes referrals, obtaines current insurance and demographic information, consents, required signatures, registration forms and answering patient questions.

40% Time Spent -
Obtain prior authorization from insuranaces companies on patient's behalf for medical and/or mental benefit coverage an how it may pretains to the referring and outcome diagnoses.
Assist patient's, provider and/or BDH finance office with denied insurnace claims and appeals.
Prepare and maintain patient charts, answer multi lines phones, collecting copays, checking in and checkin out patient's.
Manage new patient packets, order testing supplies, keep accurate cancellation list and resheduling patient's.
Obtain addional medical records and send out consulation reports. Manage and track current referrals, diagnoses and referral sources.

10% Time Spent -
Prepare and maintain patient charts, answer multi lines phones, collecting copays, checking in and checkin out patient's.
Manage new patient packets, order testing supplies, keep accurate cancellation list and resheduling patient's.
Obtain addional medical records and send out consulation reports.
Manage and track current referrals, diagnoses and referral sources.

10% Time Spent -
Perform other general office duties such as faxing, scheduling, balancing cash drawer, preparing depositsand other supervised task as appropriate under the supervison of the office manager and/or clerical supervisor.
